As leaders in global commercial aircraft and private jet charters for the last two decades, the team at Smart have always guided our executive assistant clients to find business-savvy, cost-effective solutions when it comes to booking private jet charters for their colleagues.
Using our extensive knowledge and experience, we’ve created an informative Smart Guide to booking a private jet charter for smart EAs, PAs and event organisers.
“Our expertise allows us to help both PAs and EAs through the private jet booking process and make sure they ask the right questions. Sometimes requests can be very last minute, with a lot to plan and additional pressure. We really take care of everything from start to finish, even airport transfers. We also appreciate that the booking reflects on you, which is why we ensure all of our bookings run seamlessly. We want to make you look good”.
James Gregory, Smart’s Head of VIP Charter
Here’s the Smart Guide which details all the questions you should ask when booking a private jet charter:
What is the departure airport and destination airport?
This may sound obvious but always make sure you know exactly where your executive wishes to fly from and where they are going to. Unlike scheduled flights, private jet charter provides greater flexibility, allowing you to fly in and out of airports that are private and closer to your destination, so meeting locations and final destinations are key.
For example, when flying to Paris by private jet you can choose from Paris Le Bourget (LBG), Paris Orly (ORY) and Paris Beauvais (BVA).
Are there any additional stops?
We are experienced enough to know that executives change their minds and some small requests or change of plan could potentially be logistically problematic last minute. Always ask if there are, or likely to be, any additional pick ups.
What is the desired time of arrival?
Your Smart account manager is here to do the hard work for you. Ask your executive what time they need to be at their desired location and we can work out the departure time, taking into consideration all of the contributing factors of the charter.
Do you have a desired aircraft choice?
If your executive has a preferred aircraft, then let your Smart account manager know. We understand that some executives, especially if they fly regularly, have their favourite private jet and it’s a great starting point for us to work from. One CEO we fly regularly only likes to use a Challenger 350, so we know to source that aircraft in the first instance. If they don’t have a preference, then we will always make solid recommendations based on the distance of the journey, size of the group, and budget.
Can I have your passport details?
Be thorough with passport details for all passengers, as we will need these in advance of the flight. We’re no stranger to last minute additions and changes, but it will make your life easier if all passport details are to hand, especially if the flight is last minute. We will ask for scanned copies of passports for all passengers travelling on the aircraft and won’t accept passenger details via email to reduce the risk of incorrect information being submitted and your flight being delayed.
Are there any luggage requirements?
It is imperative when we quote that we also know what type of luggage or equipment will need to be onboard. Being realistic with the combined weight of the equipment and the passenger’s personal luggage will enable your dedicated Smart account manager to find the most cost effective solution for you. By providing information on luggage upfront, you won’t waste valuable budget on chartering an aircraft that’s too big, or not big enough.
Is there any specific catering you would like on-board?
Whilst the culinary offerings onboard are not the most significant factor in the private jet booking process, there is still a huge expectation on the quality of food and drinks that will be served in-flight. From main meals to light bites, our chosen operator partners work with only the finest producers to guarantee quality ingredients are used in onboard dining menus. Our team of jet charter specialists liaise with the operators to ensure all dietary requirements are catered for in advance of any flight.
Communication is key when it comes to dining options as well as dietary requirements and allergies and we usually discuss these details with clients a minimum of a week before departure. Wow your colleagues by reading our Smart Guide to dining onboard a private jet.
Are there any onward transportation requirements?
The beauty of flying by private jet is that passengers can get to remote locations outside of commercial airports. This means that often additional transportation is required including luxury car transfers, short helicopter hops or even boat transfers. Smart can take care of all these arrangements, including transfers to and from the private jet terminal of departure.
